MFA Setup Guide (Per-User MFA)

Please note that there are THREE different options you can choose to use below, scroll down to section:


  • 1A for using your mobile phone to receive SMS or calls to secure your account

  • 1B for using your office phone to receive calls to secure your account

  • 1C for using a mobile app to secure your account


WE HEAVILY RECOMMEND GOING FOR THE MOBILE APP OPTION IN SECTION 1C AS THIS IS THE MOST SECURE AND THE SIMPLEST TO USE.


Section 2 covers adding additional methods and changing the default method.


1A. Setting Up MFA (Phone Verification)

When you next log into your Office 365 account - this may be through Outlook, Teams or on Office.com - you receive this message:

When you do, click Next.


On this screen you can choose Authentication phone (this is the default option, and the one covered in this section), Office phone or Mobile app as a way Microsoft can contact you. Leave this set to Authentication phone.


You'll now be asked to provide a phone number to be contacted on, the best option here is to select Send me a code by text message under the Method box and provide your mobile phone number. If this isn't a desirable option, if you're visually impaired for example and can't read text messages easily, choose Call me under the method box which will call you with an automated service instead. In either case, check you select United Kingdom (+44) as the country code.


Provide your phone number and click Next.



You'll shortly receive an SMS message or automated phone call which will provide you with a 6-digit verification code. Enter this code on the next screen and click Verify.



On the next screen you will be provided with an app password, this is used on older versions of Outlook or on the Mail app on Mac, iOS and Android which may not support MFA. Take note of it if you think you may need it, if you don't but need one in the future another can be created. In most cases this won't be needed, click Done to finish the MFA setup.


1B. Setting Up MFA (Office Phone)

When you next log into your Office 365 account - this may be through Outlook, Teams or on Office.com - you receive this message:



When you do, click Next.


On this screen you can choose Authentication phone (this is the default option), Office phone (the method covered in this section) or Mobile app as a way Microsoft can contact you. Change this to Office phone.


You'll now be asked to provide a phone number (or DDI if this is an option) and extension to be contacted on. Check you select United Kingdom (+44) as the country code. Provide your phone number and click Next.



You'll shortly receive an automated phone call which will ask you to press the hash key (#) on your dialpad. Once you do you be taken to the next screen automatically.



On the next screen you will be provided with an app password, this is used on older versions of Outlook or on the Mail app on Mac, iOS and Android which may not support MFA. Take note of it if you think you may need it, if you don't but need one in the future another can be created. In most cases this won't be needed, click Finished to finish the MFA setup.


1C. Setting Up MFA (Mobile App) - RECOMMENDED OPTION

When you next log into your Office 365 account - this may be through Outlook, Teams or on Office.com - you receive this message:


When you do, click Next.


On this screen you can choose Authentication phone (this is the default option), Office phone or Mobile app (the method covered in this section) as a way Microsoft can contact you. Change this to Mobile app.


You'll now be asked if you want to Receive notifications for verification or Use verification codes, I would highly recommend using notifications as this provides a quicker and easier way of providing MFA verification. Click Set up.



Follow the steps to Configure the mobile app. Once you have, click Next, and Next again.



You'll now be asked to Respond to the notification on your device , on your phone Approve the request to sign-in. (Or if you decided to use the verification code, type in the code from the mobile app and click verify, and next).



Once done you'll be asked to setup a mobile phone as a backup option. Provide your phone number and click Next. This will only be used if the mobile app fails.



On the next screen you will be provided with an app password, this is used on older versions of Outlook or on the Mail app on Mac, iOS and Android which may not support MFA. Take note of it if you think you may need it, if you don't but need one in the future another can be created. In most cases this won't be needed, click Finished to finish the MFA setup.


2. Adding Additional MFA Methods & Changing the Default Method

Once you are logged into your account you may want additional MFA options, to do this login into your Microsoft 365 account - for example by logging into Office.com. Once you're logged in click on your initials/profile picture in the top right and select the View account option.



This will take you to the My Account portal, in here click on Security info > Update Info.



On the Security info screen, you'll see the option to Change the Default sign-in method (we'll get back to this option shortly) and to Add method. Click on the option to add a method.



You'll now be able to choose a method to add, once you do you'll be taken through the steps outlined in section 1A, 1B and 1C above - refer to these if you run into any problems.



Once you have additional methods added you can click the Change default sign-in method option to choose which is the main one you'll use when you sign in.


Additionally, from this screen you can all create new app passwords (this is one of the methods listed). Remember, you can only view these when they're created - so take note of them on this screen as you won't be able to check them later, and you should use a single password per application or device. So, if you have an iPhone and an iPad requiring an app password, generate one for each device.
